Delmet
An RPA robot that places B2B supplier orders across seven suppliers automatically — working quickly and error-free, even overnight.
Delmet specializes in distributing a wide range of products including hardware, tools, power tools, accessories and equipment from renowned manufacturers meeting the latest quality standards. The company sources goods from suppliers to offer them to its customers, acting as a key distribution link in the supply chain.
The problem to solve
Delmet, operating as a distributor, needed to place orders on its suppliers' websites in order to offer products to its own customers. The previous ordering process was handled by a three-person team that manually processed all orders on supplier websites. This approach was time-consuming and error-prone, causing order delays and extended customer wait times.
What we automated
In response to Delmet's needs, Automa Services designed an RPA software robot that fully automates the B2B supplier ordering process.
Retrieve & place order
The robot retrieves orders from Delmet's internal systems, launches the ordering websites for each supplier and automatically executes the entire ordering process.
Confirm & report
The robot automatically captures the order number assigned by the supplier, then generates an order report and sends it to the relevant employees.
Handle exceptions
The robot intelligently handles out-of-stock situations at the supplier, preventing orders from being placed for unavailable products.
Impact of the deployment
The RPA project concluded with full success, delivering significant operational benefits to Delmet. The robot successfully places orders on the websites of the company's seven largest suppliers with 100% effectiveness. Automating the goods ordering process enabled a substantial acceleration of order fulfillment, minimized errors, and freed up human resources that can now be directed toward other key areas of the business.
How we deliver automation
Process analysis
The first step was an in-depth analysis of Delmet's goods ordering process — examining every step, the interactions with supplier websites and the specifics of each purchasing portal.
Pricing
After the process analysis, we prepared a detailed project quotation covering the costs of designing and building the robot and its deployment, together with estimated business benefits.
Robot development
Our RPA team began building the robot, programming it to interact with seven different supplier websites, handle different order formats and automatically capture order confirmation numbers.
Testing phase
After building the robot, a joint testing phase was conducted — verifying correct operation on all supplier sites, exception handling and the accuracy of generated reports.
Launch & support
The robot was deployed to the production environment. We provide ongoing technical support and monitoring to quickly respond to any changes on supplier websites.
Our solution
In response to Delmet’s needs, Automa Services proposed building an RPA software robot to automate the goods ordering process. The solution focused on full end-to-end automation — the robot was tasked with:
- retrieving orders from Delmet’s internal systems
- launching the dedicated ordering websites for each supplier
- executing the entire ordering process by performing operations on the supplier’s website
- automatically capturing the order number assigned by the supplier
- generating an order report and sending it to the relevant employees
Additionally, in cases where a product was out of stock, the robot did not place the order — eliminating the risk of ordering unavailable products.
"Automa Services delivered an office robotics solution that fully integrated with our ordering system. The robots took over tasks such as placing orders, monitoring statuses and updating data in the system. Automation significantly improved our B2B order efficiency — the robots work quickly and error-free, even during night hours. This RPA implementation has become a key element in our company's development."
